1. Who we are
Flintero (“Flintero”, “we”, “us” or “our”) provides software that helps service businesses manage bookings, customers, invoices, payments and communications. In this policy “you” means the business and individuals who use our website and platform.
This policy is written to comply with the New Zealand Privacy Act 2020 and, where it applies to your use, the Australian Privacy Act 1988and the Australian Privacy Principles. If you are an account holder, you are responsible for the personal information about your own customers that you put into Flintero — for that information you are the “agency” or “controller” and we act as your service provider (“processor”), handling it only on your instructions.
2. Information we collect
Information you give us
- Account & business details— your name, email address, phone number, business name, industry and login credentials.
- Customer & operational data— the records you create in Flintero, such as your customers’ contact details, appointments, jobs, vehicles, invoices, notes and message history.
- Billing information— your subscription tier and billing contact. Card payments are processed by our payment provider; we do not store full card numbers.
- Support & enquiries— anything you send us when you contact us or fill in a form.
Information we collect automatically
- Usage & device data— pages visited, features used, approximate location derived from IP address, browser and device type, and timestamps.
- Cookies and similar technologies— small files and tokens we use to keep you signed in, remember preferences and understand how the product is used (see section 9).
3. How we use information
We use personal information to:
- provide, operate, secure and improve the Flintero platform;
- create and manage your account and authenticate you;
- process subscriptions, payments and invoices, and send service messages such as receipts and important notices;
- send, on your instruction, the SMS and email reminders and campaigns you configure to your own customers;
- provide support and respond to your enquiries;
- detect, prevent and investigate fraud, abuse and security incidents; and
- meet our legal and regulatory obligations.
We do not sell your personal information, and we do not use the customer data you store in Flintero for our own marketing.
4. Sharing and disclosure
We share information only as needed to run the service or where required by law. This includes trusted third-party providers (“sub-processors”) who process data on our behalf under confidentiality and data-protection obligations:
- Cloud hosting and infrastructure— to store and serve the platform and its data.
- SMS and email delivery— to send the notifications, reminders and campaigns you configure.
- Payment processing— to take card payments and process payouts securely.
- Accounting integrations— where you choose to connect them (for example, to sync invoices).
We may also disclose information to comply with the law, enforce our terms, protect the rights and safety of users, or in connection with a business sale or restructure (in which case this policy will continue to apply to the information transferred).
5. Storage and international transfers
Some of our providers may store or process data outside New Zealand or Australia. Where information is transferred overseas, we take reasonable steps to ensure it is protected by comparable safeguards to those required under applicable privacy law.
6. How long we keep it
We keep personal information for as long as your account is active and as long as needed to provide the service, then for any period required to meet legal, tax, accounting or dispute-resolution obligations. When you close your account we will delete or de-identify personal information within a reasonable period, except where we are required to retain it.
7. How we protect it
We use technical and organisational measures appropriate to the sensitivity of the information, including encryption in transit, access controls, tenant isolation between businesses, and audit logging. No system is perfectly secure, but we work to protect your information and will notify you and the relevant authorities of a notifiable privacy breach as required by law.
8. Your rights and choices
Subject to the limited exceptions in the Privacy Act 2020 and the Australian Privacy Principles, you may:
- request access to the personal information we hold about you;
- ask us to correct information that is inaccurate or out of date;
- ask us to delete information where we are not required to keep it; and
- opt out of non-essential communications at any time.
To make a request, email privacy@flintero.com. If your request concerns data held by a business that uses Flintero (for example, you are a customer of one of our account holders), please contact that business directly, as they control that information; we will support them in responding.
9. Cookies
We use strictly necessary cookies to keep you securely signed in, and a limited set of analytics cookies to understand and improve how the product is used. You can control cookies through your browser settings, though disabling essential cookies may stop you from signing in.
10. Children
Flintero is a business tool and is not directed at children. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. When we make material changes we will update the “Last updated” date above and, where appropriate, notify you in the app or by email.
12. Contact and complaints
